Symposium Submission Instructions

  • The symposium chair must submit a proposal online to begin the symposium submission process. The proposal must include the title of the symposium, overview, the meeting topic, subtopic, track, at least one keyword, each presenter's name and email address, and the title of each presenter's abstract.

  • Once the symposium is accepted by IPA for presentation, you will be notified to return to the system to submit the session abstracts. If you have difficulty submitting online, please email technical support.

The Online Abstract System divides your screen into two parts and divides the symposium submittal process into 4 steps. On the left side (frame) of the submission screen you will see the Session Control Panel. This panel contains links that allow you to easily submit and modify your symposium, to view what you have submitted, and to access other resources. The right frame displays the forms you must submit. As you submit each form you will be shown a confirmation page that displays all of the information you have submitted so far. We encourage you to look carefully at those confirmation pages. Check what you have entered. We commonly see spelling and grammatical errors in submission, even cases of misspelled authors' names and email addresses. Be sure what you have submitted is correct!

Each form and confirmation page includes a button at the bottom of the page. You must select that button to continue through the process. The information that you type into the form is not actually saved in the online database until you select that option.

You must complete the four steps of the submission process in the order listed in the Session Control Panel; but you can go back to any completed step at any time if you need to make a correction. When making a correction on an early step you need not repeat all of the steps you have already completed; instead you can navigate from one step to another using the links in the Session Control Panel. When making corrections use the links in the Session Control Panel. Do not use the back button of your browser.

The system automatically checks your submission for completeness. If you have skipped over an important field in a form, or if certain errors are detected in what you have submitted, the form will be redisplayed with an error message in red near the top of the page explaining what you must do. The information on that form will not actually be saved in the online database until you do as instructed by that message.

Information is saved at each step of the process. If you lose your Internet connection or must interrupt the process for any reason, you can easily pick up later where you stopped.

The Four Steps of Entering a Symposium

Step Organizer of a Symposium
1. Setup Session Please enter the title, select the category, and type or paste into the box an overview of your proposed symposium.

We recommended that you compose your overview offline where you can easily check word count and spelling; then copy and paste the overview into the text box. Do not add a separate abstract for your overview.

2. Keywords Select or enter up to three keywords that you feel would be most helpful to someone searching for your symposium. You are allowed three keywords. You can select all three from those provided, enter three new ones or you may do a combination of selecting from the list and entering your own for a total of three.
3. People Enter the names and complete contact information for your co-chairs (if any), and for each person making a presentation within your symposium. Follow these steps for each person that you wish to add:
  • Type in the person's last name, then either choose "Chair" or "Presenter" or both if the chair is a presenter as well as the symposium chair. If you choose "Presenter", you will be prompted to add the Presentation Title for that presenter.
  • Click the "Search for this Person" button. If it finds a last name match, it will come back with a list of possible choices. You can choose one of them or complete the person information form that comes up, then submit it.
  • All submitters must complete the disclosure of financial relations form. Without full disclosure of all possible conflicts of interest for each participant, a symposium will not be considered.
  • When you submit your own contact information you will be emailed instructions for gaining access to your submission at any time prior to the submission deadline.
4. Conclude Submission Check your submission prior to concluding submission.
